New Years Event Checklist

Planning a successful New Year’s event requires careful preparation and attention to detail. To ensure that your celebration goes off without a hitch, use our checklist to guide you through the key steps of organising a memorable New Year’s gathering.

Conduct a risk assessment

Risk assessments demonstrate a clear understanding of the event and the risks pertaining to it. Risks will be varied, and precautions will need to involve fires, injuries and other predictable instances. Unforeseeable circumstances generally aren’t included in a risk assessment, as they exist to demonstrate the organiser has attempted to put in place control measures.

At Insure Our Event we freely provide risk assessment templates to event organisers. These include

Condut a Firework Risk Assessment

Many New Years even parties involve fireworks. Firework insurance should be purchased incase of damage to third party properties or injuries to guests, covering the legal costs and compensation.

At Insure Our Event, we have also compiled a risk assessment specific to bonfire and fireworks. This can be used to manage the risks of firework displays.

Firework Safety Tips

When organising a firework display event, it is a legal requirement that the event conform to health and safety legislation. Health and safety legislation imposes obligations upon the event organiser, including duties in respect to the safety of spectators and structures.

The organiser must ensure that the site is appropriate for fireworks. This includes checking for overhead powerlines, nearby trees or woodland areas. The direction and strength of the wind should also be noted. Storage of the fireworks needs to be strictly reviewed, as it needs to be secure and fire proof. Fireworks need to be given plenty of space, with a dedicated firing zone and spectators zone.

For large events, signage should be placed where appropriate. Parents should be warned that children and pets will need to be kept under close supervision. The council and emergency services should be informed of your intention to conduct a firework display, with adequate vehicle access incase of an incident.

Event organisers should invest in fire extinguishers, and place buckets of water around the event. This will help incase of sparkler burns or if any container set alight. Ensure a first aid point is marked.

For more information and guidance, see our firework risk management checklist.

Stallholder and hiring third party services

If you plan to invite stallholders to exhibit at your New Years Event, you must ensure they have insurance. Their public liability insurance should cover injuries, damages, accidents and fires which they are found liable for. They could also consider cancellation insurance incase an unforeseen circumstance occurs and the event needs to be called off.

Stalls and services include food sellers, drink seller, crafters, and a range of goods and products. Every stall or interaction with the public brings with it a series of risks which could result in a claim being made against the event runner. Event runners hoping to include third party service should invest in insurance to protect themselves. Review the safety of stalls;  assess any trip hazards, vehicle permissions, responsible persons and fire risks.

At Insure Our Event, we cover temporary stalls, temporary structures at events, stalls within a public market, tents or marquees. Stallholder insurance and market trader insurance is available from Insure Our Event with the lowest policy limits and the best price.
